Activities: Your Personal Hiring Work Queue
Use your personal hiring queue to find assigned work, alerts, mentions, and follow-up actions.
The Activities area in the main navigation is your personal work queue. It brings together tasks assigned to you and hiring updates that need your attention, so you can decide what to review, complete, or open next.
This is different from the Activities section inside a candidate’s application. The application section is shared history for that application. The main Activities area is your personal list of assigned work and alerts.
Prerequisites
Before you begin, make sure that:
- You can sign in to the recruiting application.
- You have selected the correct company workspace.
- Your role includes access to personal activities.
- You know whether you are looking for open work, a new alert, or something you already reviewed.
If you cannot open Activities, your role may not include the personal work queue. Contact a workspace administrator if you need access.

What you can do in Activities
From Activities, you can:
- Review open and overdue tasks assigned to you.
- Open the related candidate application or job.
- Mark a new task assignment, mention, application alert, job alert, or event alert as seen.
- Complete an assigned task.
- Review completed tasks and reopen one when the work needs to continue.
- Search and filter your queue by activity type, job status, task type, or due date.
- Review History after you have seen alerts or completed work.
- Open Notification settings to change how hiring updates are delivered to you.
Choose Needs attention or History
At the top of Activities, choose one of two views:
- Needs attention shows open or overdue tasks and alerts you have not marked as seen.
- History shows completed tasks and alerts you have already marked as seen.
An alert being marked as seen does not complete a task. Tasks remain open until you select Complete.
Filter and search your work queue
Use the controls above the activity list to narrow what you see.
- Enter a person, job, or activity term in Search activity…. When Tasks is selected, the field is labeled Search tasks… and searches task titles.
- Use the Activity type filter to choose All activity, Tasks, Mentions, Applications, Job alerts, or Event alerts.
- Use Job status to choose All jobs, Published, Internal, Draft, Closed, or Archived.
- When Tasks is selected, use Task type to choose All task types, Todo, Calls, Emails, or Evaluations.
- In Needs attention, use the due-date filter to choose Any time, Overdue, Today, or This week.
- Select Apply filters.
Select Clear filters when you want to return to the full view. Filters can make a valid item disappear, especially when you are looking for a task connected to a job with a different status.
Work with assigned tasks
The Needs attention view includes the Needs attention task section. It shows open and overdue tasks assigned to you, including the task type, title, description, status, due date, candidate, and job.
To complete a task:
- Find the task under Needs attention.
- Open the candidate and job link when you need more context.
- Complete the follow-up in the relevant application or job.
- Return to Activities and select Complete.
If a task was assigned to you recently, the item may also show New assignment and a Mark seen button. Select Mark seen after reviewing the assignment. This changes the alert state but does not complete the task.
Completed tasks move to History under Completed tasks. Select Reopen when the work needs to continue; the task returns to your open work.
Review mentions
The Mentions filter shows internal-note and recruiter-shared mentions that include you.
Under Needs attention, New mentions shows unseen mentions. Each item includes the person who mentioned you, the note text, the candidate, and the job.
- Read the note context.
- Select Open application to review the full application history.
- Respond or take the requested action in the application.
- Select Mark seen in Activities.
Reviewed items remain available under History in Seen mentions.
Review new applications
The Applications filter shows candidate alerts for jobs you own or collaborate on.
- Open New applications under Needs attention.
- Review the candidate name, source, and job title.
- Select Open application.
- Review the application in its job-specific context.
- Select Mark seen after you have reviewed the alert.
Marked alerts remain under Seen applications in History. Marking an application alert as seen does not change the candidate’s hiring stage.
Review job alerts
The Job alerts filter shows publication and status changes for jobs you own or collaborate on.
Each alert identifies the job, the new status, the previous status, and the person who changed it.
- Select Open job to review the job.
- Confirm that the new status is expected.
- Select Mark seen.
Reviewed status changes remain under Seen job alerts in History.
Review event alerts
The Event alerts filter shows candidate and internal attendee responses to events you organize.
The alert can show that an attendee accepted the invitation, marked the invitation tentative, or declined the invitation, along with the candidate, job, scheduled time, time zone, and location when one was provided.
- Open Event alerts under Needs attention.
- Review the response and scheduled details.
- Select Open event when you need to review or manage the event.
- Select Mark seen.
Reviewed responses remain under Seen event alerts in History.
Review unseen alerts together
When one or more notification alerts are waiting, the page shows Unseen alerts with the number of alerts that need review.
Select Mark all seen to mark notification alerts across activity types as seen. Assigned tasks are unchanged, so open tasks still remain under Needs attention until you select Complete.
Review History
Choose History when you need to find work or alerts you already handled. History can include:
- Completed tasks, with the option to Reopen.
- Seen mentions, with a link to the application.
- Seen applications, with a link to the application.
- Seen job alerts, with a link to the job.
- Seen event alerts, with a link to the event.
Use Previous and Next when a section contains more than one page.
Blocked tasks for administrators
Administrators may see Blocked tasks in the Activity type filter. This view is for tasks whose assignees lost access to the related application.
For each blocked task, an administrator can:
- Select Resume owner when the previous owner should keep the task.
- Select Choose new owner, select an eligible teammate, and choose Reassign.
- Enter a required cancellation reason and select Cancel task.
Use this view to restore ownership, move the task to someone who can access the application, or cancel work that is no longer needed. If you are not an administrator, ask one to handle a blocked task.
Notification settings
Select Notification settings from the Activities page to choose how hiring updates are delivered.
Personal notification preferences cover mentions and task assignments. Other notification groups can cover candidate applications, job status changes, or event responses.
Muting an alert channel does not hide assigned tasks. Check Activities when you need to confirm whether work is still open.
Typical Activities routine
- Select Activities and confirm the correct company workspace.
- Start in Needs attention.
- Review open and overdue tasks first.
- Use Mentions, Applications, Job alerts, or Event alerts to focus on one type of update.
- Open the linked application, job, or event for full context.
- Complete assigned work, then select Complete for the task.
- Mark reviewed alerts as seen individually or select Mark all seen.
- Return to History when you need to find a completed task or previously reviewed alert.
- Reopen a completed task if the follow-up is not finished.
Role-aware access
The personal Activities queue follows your workspace role and the jobs connected to your assigned work. Company administrators, Team members, Dedicated team members, Limited team members, and Reviewers can use the queue within their access scope. Content editors and External recruiters use different workspace surfaces and do not use the internal Activities queue.
Even when you can open Activities, you only see tasks and alerts connected to jobs and applications you can access. If access is removed from an application, an assigned task may become blocked and require a company administrator’s handling.
Common pitfalls
You are in the wrong company workspace
Each company workspace has its own jobs, candidates, tasks, and alerts. Use Switch company, select the workspace that owns the hiring process, and open Activities again.
You cannot see Activities in the navigation
Content editors and external recruiters use different workspaces and do not receive the internal Activities queue. Other roles may also lack access if the workspace administrator has not granted the required recruiting access.
A task or alert is missing
Clear filters, choose All activity, and check both Needs attention and History. Confirm the Job status, Task type, and due-date filters are not hiding the item.
You marked an alert seen but the task is still there
This is expected. Mark seen changes an alert, while Complete closes the assigned task. Complete the task separately after doing the work.
New applications, job alerts, or event alerts do not appear
Those alerts depend on the relevant inbox notification setting. Open Notification settings and check the related alert channel. Assigned tasks still remain visible even when personal alerts are muted.
A completed task disappeared from Needs attention
Completed tasks are shown in History under Completed tasks. Select Reopen if the work needs to continue.
A task is blocked
A blocked task means the previous assignee no longer has access to the application. Ask an administrator to open Blocked tasks and resume, reassign, or cancel it.
