Reviewing Applications in the Screening Workspace

Work through a job’s application queue, inspect candidate material, and make an informed review.

The screening workspace helps you work through applications for one job at a time. You can focus on a hiring stage, compare the candidates in that stage, review each candidate’s submitted information, read feedback from the hiring team, and decide what should happen next.

Use this workspace when you are ready to evaluate applications in context. It brings the job’s hiring stages, candidate queue, application dossier, evaluations, and activity history together so you can make a well-informed hiring decision.

Prerequisites

Before you begin, make sure that:

  1. You can sign in to the recruiting application.
  2. You have selected the correct company workspace.
  3. You can access the job you need to review.
  4. The job has received applications, or you know which hiring stage you want to inspect.
  5. Your role gives you access to candidate details and any actions you need to take.

If a job is still being prepared or has been archived, some parts of its workflow may be read-only. If you cannot see a candidate, evaluation, or action, check your access with an administrator.

What the screening workspace is for

The screening workspace is the job-focused place for reviewing candidates. It helps you:

  • See how many candidates are in each Hiring stage.
  • Open a stage and work through its candidate queue.
  • Search, sort, and filter candidates to find the right applications quickly.
  • Review the candidate’s application, resume, answers, and history in Dossier.
  • Read scorecard feedback, reviewer progress, and assessment results in Evaluations.
  • Review notes, messages, tasks, meetings, and other context in Activities.
  • Use the available workflow controls to record the next step for the candidate.

The workspace is centered on a single job, so the information you see is tied to that job and the company workspace you selected.

Open an application for review

To begin reviewing applications:

  1. Select Jobs from the main navigation.
  2. Open the job you want to review.
  3. Select the hiring stage or candidate count you want to inspect.
  4. Choose a candidate from the queue.

Confirm the job and company workspace

Before reviewing a candidate, check the job title and company workspace shown in the application. A candidate may have applied to more than one job, and your access can differ between company workspaces. If anything looks unexpected, use Switch company to select the correct workspace, then return to Jobs.

Work through the candidate queue

The left side of the screening workspace is the candidate queue for the selected stage. Each candidate row can show the candidate’s name, submission information, source, tags, and—in some configurations—evaluation, assessment, or reviewer-feedback indicators.

Use the queue controls to narrow your review:

  1. Enter a name or other visible candidate information in Search candidates….
  2. Select Sort to choose Last applied or First applied.
  3. Select Filter to open Filters.
  4. Choose from the available Source labels when you need to review candidates from a particular source.
  5. Use Screening answers when you need to find candidates who gave a particular answer to a screening question.
  6. Select Apply filters.

Select Reset to remove the active filters. If the queue spans more than one page, use Previous and Next to move through the results.

Some candidate rows show tags such as #tag. Selecting a tag can narrow the queue to candidates with that tag.

Optional assessment actions

If assessments are enabled for the job and your role allows it, you may see Select visible and Test candidates. These controls let you select candidates in the current queue and send the configured assessment. Follow the prompts in the Assessment panel, then select Send assessment.

If the application says Assessment provider not connected, assessment sending is not available until an administrator completes the required setup. You can continue reviewing the application while that setup is pending.

When the queue is empty

You may see one of these messages:

  • No matching candidates means the current search or filters do not match any candidate in the selected stage. Clear the search and select Reset.
  • 0 candidates found means there are currently no candidates in that stage. Check another Hiring stage or confirm that the candidate has not been moved or disqualified.

Review the selected candidate

After you select a candidate, use the tabs in the candidate detail area:

  • Dossier contains the candidate’s application and submitted materials.
  • Evaluations contains scorecard feedback, reviewer progress, and assessment results.
  • Activities contains the timeline of notes, messages, tasks, meetings, and logged activity.

The candidate header can also show tags and a More candidate actions menu. Depending on your access, that menu may include Open application detail and Open candidate CRM.

Review the Dossier

The Dossier gives you the candidate’s full application context for the selected job. Review it from top to bottom when you need a complete picture before discussing or advancing a candidate.

Application context

The Application context section helps you confirm what you are reviewing:

  • Application shows the job the candidate applied for, the applied date, and the source.
  • Stage shows the candidate’s current hiring stage and status.
  • Candidate shows the candidate’s name and email address.
  • Submitted contact details may include the address and social profiles the candidate provided.
  • Tags show labels used by your team to organize candidates.

Check this section first when a candidate has applied to multiple jobs or when you are switching between related records.

Submitted materials and answers

Depending on what the candidate submitted, the dossier can include:

  • Resume
  • Cover letter
  • Professional experience
  • Education
  • Projects
  • Languages
  • Answers to the job’s screening questions

Read the screening answers alongside the job requirements. Answers can explain why a candidate appeared in a filtered queue, but they should be considered together with the rest of the application.

For the resume, the available controls may include Upload resume, Resume versions, Download, Replace resume, and Delete resume. Use the version and download controls when you need to compare or share the submitted material according to your organization’s process.

Contact and application history

The dossier may also show Contact information, a link to the candidate’s CRM record, and Applications from other jobs. Use this context to avoid duplicating outreach or overlooking a previous application.

If Customize sections is available, you can adjust the order or visibility of dossier sections for your own review. The available choices are grouped under Applicant tracking and Talent CRM. Select Save after making changes.

Review Evaluations

Select Evaluations to review how the hiring team has assessed the candidate.

The evaluation area can show:

  • The current stage’s Team scorecard evaluations.
  • Reviewer assignments and progress.
  • Decisions or signals recorded by reviewers.
  • Assessment results, when an assessment is configured and completed.
  • Earlier feedback under Evaluation history.

Read current-stage feedback first, then use Evaluation history to understand what has already been considered. A missing evaluation does not necessarily mean the candidate was rejected; it may mean that the assigned reviewer has not completed their review.

If you can view evaluations but cannot save or edit them, you may see Collaboration access with the message Collaboration access is required to save or edit evaluations. You can still review teammate feedback, reviewer progress, and assessment results. Ask an administrator to confirm your assignment and access if you need to submit feedback yourself.

The candidate’s workflow controls remain available in the candidate header or workflow band when your role and the job status allow them. Use the action that matches your team’s process, and confirm the resulting stage or status before moving to the next candidate.

Review Activities

Select Activities to review the context around the candidate. The activity timeline can include:

  • Notes added by the hiring team.
  • Emails and other candidate communication.
  • Tasks and their follow-up history.
  • Meetings and scheduled events.
  • Activity records logged by a team member.

The activity area may also provide Add note, Email, Task, Meeting, Log activity, or a More menu with additional actions. Only the actions allowed for your role and the selected job appear.

Review recent activities before contacting a candidate or making a recommendation. This helps you see whether another teammate has already followed up, assigned a task, scheduled a meeting, or recorded a concern.

Typical screening review

Use this sequence for a consistent review:

  1. Open Jobs and select the correct company workspace and job.
  2. Choose the hiring stage you are reviewing.
  3. Search, sort, or filter the queue if you need a smaller review set.
  4. Select the first candidate and confirm the Application context.
  5. Review the Dossier, including the resume, submitted answers, and application history.
  6. Review Evaluations and Evaluation history to see the hiring team’s input.
  7. Review Activities for recent communication, tasks, meetings, and notes.
  8. Use the available workflow or collaboration action to record the next step.
  9. Return to the queue and repeat the review for the next candidate.
  10. Confirm that the candidate’s stage, status, or follow-up action reflects the decision your team made.

Role-aware access

What you can see and do depends on your role, your access to the job, and the company workspace you selected. Company administrators generally have the broadest review and setup access. Team members, Dedicated team members, and Limited team members can review applications and use the actions available within their scope. Reviewers can participate in evaluations when assigned and permitted; assignment alone does not always grant permission to save an evaluation. Content editors use careers-site content, and External recruiters use the separate recruiter workspace.

Access can be limited to particular departments, sites, or explicitly assigned jobs. Seeing a job in Jobs does not guarantee that you can edit its application, submit an evaluation, change a candidate’s stage, or view every candidate detail.

Common pitfalls

You are in the wrong company workspace

Company workspaces keep jobs, candidates, activities, and permissions separate. If the job or candidate is missing, select Switch company and choose the workspace that owns the hiring process.

A menu item or tab is missing

The application hides controls that your role or job scope does not allow. For example, you may be able to review a dossier but not edit candidate information or save an evaluation. Ask an administrator to confirm the correct role, job assignment, or reviewer assignment.

The candidate is not in the queue

Check the selected Hiring stage, clear the search, and select Reset. The candidate may be in another stage, associated with another job, or disqualified from the current workflow.

You cannot change the candidate’s workflow status

The job may be in a read-only state, or your role may not include the required workflow action. Review the candidate details and ask a permitted teammate to make the change when appropriate.

Evaluation controls are unavailable

You may have view access without collaboration access, or the scorecard may not be configured for the current stage. If you need to submit feedback, confirm that you are an assigned reviewer and that your role permits saving evaluations.

Assessment controls are unavailable

Assessments may not be enabled for the job, or the assessment provider may not be connected. If the application shows Assessment provider not connected, contact an administrator.

An expired invitation cannot be used to enter the workspace. Ask the administrator who invited you to send a new invitation, then activate your account from the replacement message.

The information looks out of date

A teammate may have updated the candidate, activity history, or hiring stage while you were reviewing it. Refresh the page and confirm the current stage and latest activity before taking action.

What to do after your review

Once you have reviewed the dossier, evaluations, and activities, record the next action your team agreed on. Depending on your access, that may mean adding feedback, assigning a task, scheduling a meeting, contacting the candidate, or progressing the candidate through the hiring workflow.

Keep the candidate’s stage and activity history current so the rest of the hiring team can understand what has already happened and what should happen next.
