Publishing Jobs Through a Careers Site

Check publishing requirements and make a prepared job available through a careers site.

A careers site is the candidate-facing home for your company and its open roles. Use it to present your employer story, display jobs marked Published, and give candidates a place to review a role, apply, and find the published privacy notice.

Use this guide when your goal is to make a prepared job visible to candidates. For site pages, branding, domains, or site lifecycle management, use the guide Managing Careers Sites and Site Content.

Publishing has two related parts:

  1. Publish the careers-site content so the site has a current version.
  2. Make the site public so anyone with its address can open it.

You can publish a site version while public access remains off. This lets administrators test the candidate experience before making the site available to everyone.

Prerequisites

You need access to the correct company workspace and a role that can manage careers-site content. Company administrators can create sites, manage their lifecycle, and change public access. Content editors can work on careers-site content, but public-access and domain controls remain administrator responsibilities.

Before publishing, prepare:

  • at least one job with status Published if you want open roles to appear;
  • the job’s title, description, location, application form, and privacy requirements;
  • the company’s applicant privacy notice in Settings > Data privacy for the site language; and
  • the site name, language, employer content, branding, and links you want candidates to see.

If you belong to more than one company, confirm the active company from the account menu before changing a careers site.

Create a careers site

Only a Company administrator can create a new careers site.

  1. Open Settings > Careers sites.
  2. Choose Create careers site.
  3. Enter a Site name. This is used internally and starts the public site title.
  4. Choose a Language.
  5. Choose a Starting template: Adriatic, Clean, or Editorial.
  6. Choose Create site.

The new site starts as a private, unpublished site. You can edit it, preview it, and publish a version before deciding whether to turn on public access.

Understand the Careers sites list

The Careers sites page shows the sites in the active company workspace. Each site can show:

  • Primary, when it is the default site for the company;
  • Published or Draft, depending on whether it has a published version;
  • Public or Administrators only, showing who can open it;
  • its Language; and
  • its hosted Address or connected custom domain.

Use Edit site to open the visual editor. For a published site, use Open live site when it is public or Test published site when access is limited to administrators.

Only one active site can be Primary. The primary site is used as the company’s default careers site when a specific site has not been selected elsewhere.

Edit the site content

Open Edit site and use the visual editor to work on the draft. The editor includes these main areas:

  • Pages lets you choose the homepage, review system pages, create custom pages, and manage page placement.
  • Sections lets you add and edit the content sections available for the selected page.
  • Outline helps you move through the selected page’s structure.
  • Site settings contains publishing, branding, and advanced site options.

Changes to the site are saved to the draft automatically. The published version does not change until you choose Publish and confirm the publication.

Edit the homepage

  1. Open Pages and select Homepage.
  2. Use Sections to select the content you want to change.
  3. Update the text, images, calls to action, and other available fields.
  4. Select the shared Header or Footer when you need to change content that appears across the careers site.
  5. Use Preview changes to review the draft.

The available sections depend on the selected starting template and the page you are editing. Use the fields shown in the editor rather than assuming that every template has the same content controls.

Display open roles

The Open roles system page displays jobs that are marked Published and have a public job address. It can appear in one of two places:

  • Homepage section, where open roles appear on the homepage; or
  • Separate page, where candidates open the roles page from the site navigation.

To choose the placement:

  1. Open Pages.
  2. Find Open roles under System pages.
  3. Under Display, choose Homepage section or Separate page.
  4. Select Edit section if you want to change the open-roles section on the homepage.
  5. Preview the result and confirm that the roles your team wants to advertise are marked Published in Jobs.

The job description, location, work arrangement, department, and application experience come from the job configuration. Update those details in the job editor, not in the careers-site homepage.

Add a custom page

Use a custom page for company information or other candidate-facing content that does not belong on the homepage.

  1. Open Pages and choose Add page.
  2. Enter an Internal name for your team.
  3. Enter the public Page title.
  4. Enter the Page address using lowercase letters, numbers, and hyphens.
  5. Choose a Starting point: Blank page or Story page.
  6. Choose a Placement: Main navigation or Unlinked.
  7. Choose Create page.
  8. Select Edit sections to add and arrange the page content.

An Unlinked page can be opened by its address but does not appear in the main careers-site navigation. A page in Main navigation appears alongside the site’s other navigation items. You can later use Add to navigation, Unlink, or the move controls shown for the page.

Review system pages

The Pages panel also lists system pages that are supplied by the workspace:

  • Open roles uses jobs marked Published.
  • Job details uses the content saved on each job.
  • Application uses the application fields configured for each job.
  • Privacy uses the applicant privacy notice published from Data privacy settings.

These pages help you test the complete candidate journey. If their content or behavior needs to change, update the related job or privacy settings and preview the site again.

Set the site identity and brand

Open Site settings to edit the site-level options.

Publishing

The Publishing section shows the published site when one exists. Choose Open published site to review it.

Brand

In Brand, you can update:

  • Site name;
  • Logo;
  • Favicon; and
  • Brand colour.

These changes are saved to the draft automatically. Review the draft after changing the brand so the logo, colours, and site title are clear on both the homepage and job pages.

Select Header to update the careers label and navigation labels. Select Footer to add optional company links, a recruitment email, and social profiles such as LinkedIn, Instagram, Facebook, YouTube, and TikTok.

Only links that you configure appear in the footer. Enter complete, valid addresses when the editor asks for them.

Advanced options

The Advanced section shows the Hosted address, the optional Custom domain status, and the Homepage template. If your role allows it, you can manage a custom domain from this area. Otherwise, you can view its status and ask a company administrator for help.

Use Reset homepage draft only when you intend to replace the current homepage draft with the selected template. Your published site remains unchanged until you publish again.

Preview the candidate experience

Preview before publishing so you can check the full path from company introduction to application.

  1. Select Preview changes in the editor.
  2. Review the homepage and any custom pages.
  3. Open Open roles and confirm the intended jobs are listed.
  4. Open a job under Job details and check the title, description, location, work arrangement, and application action.
  5. Open Application and confirm the fields and screening questions are correct.
  6. Open Privacy and confirm the applicant privacy notice is present for the site language.
  7. Return to the editor and correct any content, links, or layout that needs attention.

Publish the site

Publishing creates or replaces the site’s published version. It does not automatically make a private site public.

  1. Save or wait for the draft changes to finish saving.
  2. Select Publish in the site editor.
  3. Read the Publication check.
  4. Confirm that the homepage draft is ready and that the expected number of published roles will be visible.
  5. Select Publish site for the first publication or Publish changes for a later update.

If the site is still private, the published version becomes the administrator-only test version. Only administrators can test that version until public access is enabled.

When the site is already public, publishing replaces the live homepage and updates the opportunities section with the jobs currently marked Published.

Make the site public

Only a Company administrator can change public access.

  1. Open Edit site → Site settings.
  2. In Publishing, find Access.
  3. Choose Everyone.
  4. Read the confirmation that anyone with the site address will be able to open it.
  5. Choose Make public.

Before Everyone can be selected, the site must have a published version. The workspace may also require a published applicant privacy notice for the site language, company verification, and an eligible workspace for public careers publishing.

To take a site out of public access, return to Access and choose Administrators only. Administrators can still test the published version while public access is off.

Manage multiple careers sites

Company administrators can manage site lifecycle actions from Settings > Careers sites.

  • Choose Make primary to make an active site the company default.
  • Choose Duplicate to create a private, unpublished copy of an active site.
  • Choose Archive to remove an active site from normal use while keeping its record.
  • In Archived sites, choose Restore privately to edit an archived site again with public access off.

Make another active site primary before archiving the current primary site. Remove or transfer a site’s custom domain before archiving it.

Role-aware access

Careers-site access is separate from internal hiring access.

  • Company administrators can create sites, edit content, publish site versions, change Access, manage custom domains, make a site primary, duplicate it, and archive or restore it.
  • Content editors can edit careers-site content, pages, branding, headers, and footers, and can publish a site version when publishing is available. They cannot change public access or manage custom domains.
  • Team members, Dedicated team members, Limited team members, and Reviewers use the internal hiring workspace and do not manage careers-site content from this area.
  • External recruiters use the separate recruiter workspace and do not manage the company careers site.

If you can edit content but cannot see Access, Custom domain, or lifecycle actions, ask a company administrator to make that change.

Common problems

  • You are in the wrong company workspace. Open the account menu, choose Switch company, select the correct company, and confirm its name before editing or publishing.
  • You do not see Careers sites. Your role may not include careers-site access. Content editors and company administrators can use this area; other roles should ask an administrator for help.
  • The site is published but not public. Check Site settings → Publishing → Access. A published version can remain Administrators only until an administrator chooses Everyone.
  • The Publish button is unavailable. The workspace may not be eligible for public careers publishing, may require company verification, or may need the applicant privacy notice published for the site language.
  • A published job does not appear under Open roles. Confirm the job is Published, has a public job address, and belongs to the company workspace used by the careers site.
  • The application page cannot be tested. Publish the careers site and a job first, then reopen the preview. Check that the job has an application form configured.
  • The Privacy page is unavailable. Publish the applicant privacy notice in Settings > Data privacy and make sure it matches the careers-site language.
  • You cannot make a site primary or archive it. These lifecycle actions are administrator-only. You also cannot archive the current primary site or a site with a connected custom domain until those conditions are resolved.
  • Your draft changes are missing. Wait for the draft to finish saving, then use Preview changes. If another person changed the draft, reload the latest version and review it before making further edits.
  • A custom domain is not active. Open Site settings → Advanced → Custom domain to view its status, or ask an administrator to complete the domain work.
