First-Time Administrator Setup

Prepare the company workspace, access rules, hiring structure, careers site, and privacy settings.

The first-time setup checklist helps you prepare a company workspace for real hiring. It guides you through three practical tasks: confirm the company details, create the first job, and bring in a teammate.

Prerequisites

You need to be a Company administrator who can manage company settings and team members. You should also know the correct company workspace and have the basic information for your company and first role ready.

If you do not see the setup checklist, the workspace may already be set up, you may be in another company, or your role may not include administrator access.

Open the setup checklist

  1. Sign in and confirm the company name in the account menu.
  2. If needed, use Switch company to select the workspace you are setting up.
  3. On Jobs, choose Continue setup when the setup callout appears.

The checklist shows your progress as completed steps out of three. You can open the linked area for each step and return to the checklist afterward.

Step 1: Review company details

  1. In the checklist, choose Open company settings.
  2. Confirm the company name and workspace address.
  3. Save the company settings.
  4. Return to the checklist and confirm that Review company details is marked Complete.

Saving the company settings completes this setup step. If you change company information later, that is a normal settings task and does not restart onboarding.

Step 2: Create the first job

  1. In the checklist, choose Create first job.
  2. Add the information needed to describe the role, such as its title, description, location, department, and candidate-facing details.
  3. Save the role as a draft.
  4. Refine the job, preview it, and publish it when the candidate experience is ready and your workspace meets the publishing requirements.
  5. Return to the checklist and confirm that Create the first job is marked Complete.

The onboarding step is completed when the workspace has a job. You do not have to finish every publishing task before continuing setup.

Step 3: Invite a teammate

  1. In the checklist, choose Open Team members.
  2. Choose Invite member.
  3. Enter the teammate’s name and email address.
  4. Choose the appropriate Workspace role.
  5. Add the department, site, or job access required for that role.
  6. Choose Create invitation.
  7. Return to the checklist and confirm that Invite a teammate is marked Complete.

The step is complete when another teammate has joined the workspace or when there is a current invitation that can still be accepted. For role and access guidance, review the teammate’s assignments before sending the invitation.

Finish setup

When all three steps show Complete:

  1. Return to the setup checklist.
  2. Choose Finish setup.
  3. Confirm the completion notice on Jobs.

The Finish setup button stays unavailable until all three steps are complete. Completing the checklist records that the initial workspace setup is finished; it does not prevent you from continuing to configure the workspace later.

Finish later

You can choose Finish later to return to Jobs while setup is still incomplete. The setup callout remains available so you can continue where you left off.

While setup is incomplete, you can still use the workspace areas available to your role. Return to the checklist when you are ready to complete the remaining steps.

After setup is complete

Use the workspace in this order:

  1. Open Jobs to refine the first role and review its candidate experience.
  2. Use Settings > Careers sites to prepare the candidate-facing site when your role allows it.
  3. Use Settings > Data privacy to review the applicant privacy notice when your role allows it.
  4. Ask the invited teammate to accept the invitation and confirm their workspace access.
  5. Open the job’s screening workspace when applications begin arriving.

These follow-up tasks are separate from the three-step checklist, so you can complete them as your hiring process develops.

Common setup problems

  • The setup callout is missing. Confirm the active company, then check whether the workspace is already complete or your role is a company administrator.
  • Company details do not mark complete. Save the Company settings form, then return to the checklist.
  • The first job step does not complete. Confirm that the job was saved, even if it is still a draft.
  • You cannot invite a teammate. Ask another company administrator to confirm that your role can manage team members. Check that the invitation uses a valid name, email address, role, and required scope.
  • You cannot select Finish setup. Review the progress indicator and complete every step marked To do. A current pending teammate invitation can satisfy the invitation step.
  • The workspace cannot publish the first job. Publishing is separate from creating the job. Review the job’s publishing readiness, careers site, pipeline, company verification, and applicant privacy requirements.
  • The checklist opens a different company. Return to the account menu, use Switch company, and restart from the correct workspace.
