Workspace Navigation: Jobs, Candidates, Activities, and Settings

Use Jobs, Candidates, Activities, and Settings to find the right place for each hiring task.

The recruiting workspace has four main areas. Use Jobs to manage roles, Candidates to find people and their applications, Activities to work through your personal queue, and Settings to manage your preferences and—when allowed—your company’s hiring setup.

Prerequisites

You need an active workspace account. Before using the navigation, confirm the company name in the account menu. If you belong to more than one company, select the correct workspace with Switch company.

The top navigation

The top bar keeps the main workspace areas available while you work. Select a label to move to that area:

  • Jobs opens the roles available in the active workspace.
  • Candidates opens the candidate list and candidate records available to you.
  • Activities opens your personal hiring work queue.
  • Settings opens your personal and company settings that your role allows you to use.

The current area is highlighted. On a smaller screen, the main navigation may appear under a Workspace selector; open it to choose another area.

If Activities has an alert badge, it indicates unseen hiring updates that need your attention. Assigned tasks remain open until you complete them, even when you mark their notification alert as seen.

Use Jobs

Choose Jobs when you want to:

  1. See the roles available in the active workspace.
  2. Search by job title.
  3. Filter by department, location, or job status.
  4. Open a job to edit its details, configure screening, preview the candidate experience, or review applications.
  5. See the hiring stages and candidate counts for each job.

If you are allowed to create jobs, the Jobs area provides the action to create a new role. If you only have access to assigned jobs, roles outside your scope do not appear.

Use Candidates

Choose Candidates when you want to:

  1. Search for a candidate across the active workspace.
  2. Filter by tag, source, or latest hiring stage.
  3. Sort the candidate list.
  4. Open a candidate record and review their profile and applications.
  5. Apply or remove tags when your role allows it.

Use the candidate record for person-level information. Open the relevant application when you need to review the candidate’s progress for one specific job.

Use Activities

Choose Activities when you want to find work or updates assigned to you. Open the related candidate or application, mark alerts as seen, complete open tasks, or reopen completed tasks. Company administrators may also see Blocked tasks when an assignee has lost access to the related application. They can resume the previous owner, assign another eligible owner, or cancel the task.

Use Settings

Choose Settings to open a secondary settings navigation with two groups.

Your settings

  • Overview provides the settings starting point.
  • Profile lets you update your name, avatar, and personal account information.
  • Notifications lets you choose your inbox and email alerts.

App settings

When your role allows it, App settings can include:

  • Company settings for basic information about the active workspace;
  • Careers sites for careers sites, languages, and publishing;
  • Data privacy for the applicant privacy notice and optional retention choice;
  • Email templates for candidate-facing application and privacy emails;
  • Departments for organizational structure;
  • Sites for reusable hiring locations and job-site presets;
  • Team members for workspace members, roles, invitations, and access;
  • Pipelines for recruitment workflow stages;
  • Tags for reusable candidate and application tags;
  • Rejection reasons for consistent disqualification feedback; and
  • Scorecard templates for structured interview evaluation criteria.

Settings items can be hidden when your role does not include the required administration responsibility. A content editor may see Settings with personal options plus the careers-site-related work available to that role. External recruiters use a separate recruiter workspace instead of this internal settings navigation.

Use the account menu

Select your avatar to open the account menu. It shows your name and active company, then provides access to:

  • Your settings for personal profile settings;
  • App settings for company settings when your role allows them;
  • Switch company when you belong to more than one company; and
  • Log out to end your session.

When you choose Switch company, the Available Workspaces list shows the companies you can enter. Select the company you need, wait for the workspace to change, and confirm its name before continuing. The active company is marked in the list.

Use this simple rule when deciding where to go:

  1. Start in Jobs when you are working on a role or want to review its applicant stages.
  2. Start in Candidates when you know the person’s name or need to compare candidates across roles.
  3. Start in Activities when you want to see what is assigned to you or what changed recently.
  4. Start in Settings when you need to change workspace configuration or your own preferences.
  5. Return to the job’s screening workspace when you are ready to review an application and move it through the hiring process.

Common navigation problems

  • The page shows the wrong company. Open the account menu, choose Switch company, and select the correct workspace.
  • A navigation item is missing. Your role may use a reduced navigation or a separate recruiter workspace. Ask a company administrator to confirm your access.
  • A job or candidate is missing. Clear filters, confirm the active workspace, and check whether the record is outside your assigned departments, sites, or jobs.
  • A Settings item is missing. Settings sections appear only when your role includes the required responsibility. Ask an administrator for the specific setting you need.
  • The Activities badge disappears but work remains. Marking an alert as seen does not complete its assigned task. Open Activities and complete the task separately.
  • A job opens but its editing controls are unavailable. You may have review access without job-configuration access, or the job may be archived. Check your role and the job’s status.
